Users Management

Inviting Users

Cloudby is a platform that anyone can access, but you can’t just create or rename users on your own if you’re an admin. To add new users, you’ll need to send them an invitation.
Creating Invitation
1.Navigate Menu: Settings > Users > Invitation
2.New Invitation Codes
3.Set name to General Invitation
4.Set require approval to Yes
5.Reusable to Multiple
6.Set Active
7.Select User Group: Read-only & General User
8.Create
Sending Invitation
9.Open Tab: Email Invite
10.Enter recipient email
11.Enter message
12.Send Email
Users with the email address will receive an invitation with a sign up link.
Successful signup applicants will be shown in Applicants Tab

Users joining your organisation

The invitee user journey as follows:
1.Received an email with the sign up url with an invitation code.
2.The signup Url prompts users to Sign-in or Create an Account.
3.User confirms joining your organisations
4.User waits for joining application approval.
5.User then receives email notification for approved enrollment.

Approving joining Users

1.Navigate Menu: Settings > Users > Invitation
2.Open the invitation, and then open Applications tab
3.Click on user pending link
4.Then click on either Accept or Reject

Managing Users Roles

User access is controlled by the user groups they are being part of.
Setting User Group
1.Navigate Menu: Settings > Users
2.Load the user
3.Open tab to Usergroup
4.Select the user group user eligible for
5.Update
Reviewing Access
6.Open Permission Tab
7.Review all the access by the user.

Document Designer

Document template allows you to create a custom template for your operational purpose. It can take the form of different content, paper size, print orientation or more.
You can create multiple templates for different types of documents.
Creating Document Template
1.Navigate Menu: Settings > Maintenance > Document Template
2.New Document Template
3.Set Type: Invoice (amount mode)
4.Set Name: Invoice A4
5.Create
Editing Document Template
The designer is loosely modelled upon the popular HTML & CSS styling.
Sections of the editor are:
1.Toolbox – Data element to be drag & dropped into the editor
2.Designer – Layout and positioning of each element.
3.Preview – The preview of the design with options of sample data.
4.Properties – Styling options of the selected elements.
Upon save, the template is ready to be use in PDF generations.
